Summary of Key Responsibilities and Role

You will be the first point of contact for advisors joining a leading estate planning company.

The role requires effective handling of all enquiries, outbound communications and administrative functions for new entrants, systems, and software teams.

The role also includes Receptionist duties.

Principal Responsibilities

You will be dealing with all enquiries, outbound communications and administrative functions for the new entrants, systems and software teams.

  • Scheduling and arranging courses and webinars on a monthly basis including attendance at training events.
  • Providing technical support for monthly webinars and courses.
  • Support the Directors PA including cover when on annual leave – diary management.
  • Interacting with the Marketing Department to promote & sell company events and the various Software we offer.
  • Setup of Software Systems and management of Software Accounts.
  • As one of the company receptionists you will greet, welcome, and direct visitors appropriately.
  • Maintain security and safety of staff by following procedures.
  • Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
  • Maintain database to ensure accurate information is retained.
  • Reconcile data to update our Marketing Platform to ensure continued growth of the business.

Key Knowledge & Required Skills

You must have outstanding customer service as you will be dealing with customers either by telephone or face to face, with the ability to work independently and a positive can-do attitude towards problem solving.

Experience Required

  • Previous administration experience is essential, and we are looking for someone who is used to working in a busy office environment, with daily deadlines.
  • Experience in answering and dealing with telephone calls and emails in professional and efficient manner.
  • You must have knowledge of using Microsoft, Outlook, Word, and basic level of knowledge of using Microsoft Excel.
  • Used to working with multiple in-house systems, willing to learn new internal systems to grow knowledge (training will be given)
  • You must have the ability to work independently and a positive can-do attitude toward problem solving.
